All personnel files are official District records and shall be maintained by the District Administrator in accordance with state statutes. All certified staff members shall have on file current valid teaching certification and documentation and a complete, up-to-date transcript of all college work.

Employees have the right to access their individual personnel files. Such reviews may be made during normal business hours, in the presences of the District Administrator or designee at such time he or she may be available and shall be available for inspection by the teacher within forty-eight (48) hours of request. No materials originating within the District and pertaining to the teacher shall be placed the teacher’s permanent files unless the teacher has had an opportunity to read such materials. No person shall remove any material from a teacher’s individual file without written consent of both the Board and the Teacher.

An employee shall be permitted to review and copy any material in his/her individual personnel file at the teacher’s own expense. Additional representation may be present when the teacher reviews his/her personnel file, with written permission. References shall remain confidential.

An employee shall have the right to answer any material originating within the District and pertaining to the employee, which is placed in the employee’s individual personnel file, and all such answers will be made part of the file.

The District Administrator is directed to review all individual personnel files annually and notify affected employees of any documentation updating and/or renewals required. However, responsibility to attain all required certification and license requirements is the responsibility of the employee. Failure to notify the employee does not release the employee from this responsibility.
